Prom transportation is one of the few things parents book where the priority list is completely different from the student’s. Your teenager is thinking about photos and who is riding with whom. You are thinking about who is driving, what the policy is on alcohol, and whether the company on the other end of the phone is actually licensed.

Both sets of concerns are legitimate, and a good operator handles both. This guide is written for parents in Orland Park, Tinley Park, Frankfort, Mokena, Homer Glen, New Lenox, Oak Lawn, Palos Heights, and the surrounding south suburbs who are booking prom transportation, whether for the first time or the fourth.

Start Earlier Than You Think

Prom season in the Chicago area concentrates into a handful of weekends in late April and May, and every high school in the region is competing for the same vehicles on the same nights. Sandburg, Andrew, Stagg, Lincoln Way, Marist, Providence, Mount Carmel, Oak Lawn, Richards, and Shepard schedules overlap heavily.

Book eight to twelve weeks out. By March, the best vehicles on the peak Saturdays are gone. Groups that call in April are choosing from what is left rather than what they wanted.

Confirm your school’s dance date first, then confirm the group. Deposits are usually non refundable inside a certain window, and dates occasionally move.

Get the headcount locked before you reserve. Prom groups grow. A group of 12 in February is a group of 18 in April with remarkable consistency, and upsizing at the last minute is not always possible.

Choosing the Right Vehicle

Stretch limousine, 10 to 18 passengers. The classic. Our MKT stretch seats 10 and our Hummer stretch seats 18. Best for smaller groups who want the traditional look for photos. Keep in mind that formal wear takes up space. A 10 passenger limo with 10 students in gowns and tuxes is tight, so consider booking one size up.

Party bus, 14 to 30 passengers. Our Sprinter party bus handles 14 and our Freightliner handles 30. More room to move, better for larger friend groups, and easier for photos as a group. This has become the more popular choice for prom in the last several years.

Sprinter van, 10 to 14 passengers. A quieter option. Some families prefer a straightforward Sprinter van for the transportation without the nightclub atmosphere, particularly for younger students or for groups whose parents want a simpler night.

Coach bus, 35 and up. Some schools and parent groups organize official transportation for the entire class. Our coach bus rentals handle that scale, and it is often the most cost effective option per student by a wide margin.

The Safety Policies Parents Should Confirm

This is the part of the conversation that matters most, and any legitimate operator will answer these questions without hesitation.

Alcohol policy for groups with minors. Any vehicle carrying passengers under 21 is a dry vehicle. No alcohol, no exceptions, no negotiation. This is not a company preference. It is the law and it is a condition of insurance. If a company is vague about this, that is your answer about the company.

Chauffeur conduct and screening. Ask whether drivers are background checked, drug tested, and commercially licensed. Ask whether the driver stays with the vehicle for the entire booking. Licensing and insurance. Ask for proof. A real operator carries commercial livery insurance and will provide documentation on request. Emily’s Limousine Service is licensed and fully insured, and we are happy to confirm coverage before you book.

Itinerary control. Agree on the route in advance and put it in writing: pickup addresses, the photo location, the venue, the after event stop if there is one, and the drop off. Reputable operators do not take route changes from students mid trip without confirmation from the adult who made the booking.

Parent contact. Provide a parent phone number as the primary contact on the reservation, not a student’s. If something changes, dispatch calls you.

Drop off accountability. Decide in advance whether students are dropped at one address or at their own homes. Individual drop offs cost more and are worth it to many parents.

Building the Itinerary

A prom night itinerary usually looks something like this:

1. Pickup at one or two homes. Consolidating to one address saves time and money. Two stops is manageable. Six is not.
2. Photo location. A park, a lakefront spot, a family home with good light. Budget 30 to 45 minutes. Groups always take longer than they think.
3. Confirm the restaurant has somewhere for a large vehicle to stage. Some do not.
4. The venue. Note the school’s designated drop off zone, which is often not the front door.
5. After event. Post prom at the school, a bowling alley, someone’s house. Decide this before booking so the hours are right.
6. Final drop off.

Two practical notes. First, most prom bookings run on an hourly basis with a minimum, and prom weekends typically carry a higher minimum than an ordinary Saturday. Confirm the minimum and the overtime rate before you sign. Second, build in buffer. Everything on prom night takes longer than planned, and going into overtime because photos ran twenty minutes over is a preventable expense.

Questions to Ask Before You Pay a Deposit

• Is the company licensed and insured, and will they show you proof?
• What is the exact vehicle you are reserving, and what happens if it is unavailable that night?
• What is the alcohol policy for groups including minors?
• Is the driver background checked and commercially licensed?
• What is the hourly minimum, the overtime rate, and the cancellation window?
• Is gratuity included in the quote or added separately?
• Is there a damage or cleaning deposit, and what triggers a charge?
• Who does the driver call if plans change?

Splitting the Cost

Most groups divide the total across families. A few things that make that easier:

Get the quote in writing and share it with every parent up front, including gratuity and any deposit. Surprises after the fact create friction between families.

Designate one booking parent. One name on the reservation, one point of contact, one person collecting. Committees do not book well.

Decide gratuity in advance. Whether it is included in the quote or collected separately, agree on it before prom night so nobody is doing math in a driveway at midnight.

Compare per student cost across vehicle sizes. A larger vehicle split more ways is frequently cheaper per family than a smaller one split fewer ways.
