Charter Bus Rental for School Trips, Sports Teams and Church Groups in Chicago (2026 Guide)
Charter Bus Rental for School Trips, Sports Teams and Church Groups in Chicago (2026 Guide)
Quick answer: For a school trip, sports team or church group in the Chicago area, a full-size charter bus seats 35 to 57 passengers and starts at $450 to $650 per hour with a 3-hour minimum. Before you book, confirm the company’s USDOT number and safety record, ask for a certificate of insurance, and count every rider, including chaperones and coaches. Book 4 to 8 weeks ahead for most trips and 2 to 3 months ahead for spring field trips, graduation season and fall tournaments.
Group leaders carry a lot of responsibility. A teacher has parents to answer to, a coach has a tournament bracket to meet, and a youth pastor has a room full of permission slips. The bus is the one part of the trip that has to go right every time. This guide covers what organized groups should check, which bus fits your headcount, how federal driver rules shape long days, and what the trip will cost. It is written by the team behind Emily’s Chicago limo and charter bus service, based in Orland Park and running our own coaches across Chicago and the south suburbs for more than 25 years.
What Group Organizers Should Check Before Booking
Schools, leagues and churches often have their own approval process for outside transportation. These are the checks that matter most, whichever company you choose.
- USDOT number and safety record. Any company carrying passengers across state lines must be registered with the Federal Motor Carrier Safety Administration. Ask for the USDOT number and look it up on the FMCSA website to confirm the company is active and to see its safety history.
- Certificate of insurance. Many schools and districts will not approve a trip without one. Ask for it when you book so it is on file well before the travel date.
- Licensed, professional drivers. A driver carrying 16 or more people, including the driver, needs a commercial driver’s license with a passenger endorsement. Ask how drivers are screened and trained.
- Vehicle condition. Ask how often the coaches are inspected and whether the bus you are booking has seat belts, luggage bays and restrooms if your trip needs them.
- A written, all-in quote. The quote should show the hourly rate, minimum hours, gratuity, tolls and any parking fees, so the number you take to your board or booster club is the real number.
Pick the Right Bus for Your Headcount
Count every seat you need: students or players, teachers, chaperones, coaches, trainers and any parents riding along. Then match the total to a vehicle. A bus that is too small cannot carry extra riders, and a bus that is too big costs more per seat.
| Group size | Best fit | Good for |
|---|---|---|
| Up to 14 | 14-passenger Sprinter | Small teams, staff groups, youth leaders |
| 15 to 35 | 35-passenger coach | One classroom, a varsity team, a church choir |
| 36 to 50 | 50 or 51-passenger coach | Two classrooms, band sections, youth retreats |
| 51 to 57 | 54 or 57-passenger coach | Full grade-level trips, large fan groups |
| 58 and up | Two or more coaches | Whole-school outings, multi-team tournaments |
Our coach bus rentals come in 35, 50, 51, 54 and 57-passenger sizes. If you are still deciding between a van, a limo and a coach, our group transportation vehicle guide compares every option side by side.
School Field Trips
Field trips run on the school day, so the schedule has fixed edges. The bus usually needs to leave after morning attendance and be back before dismissal or after-school pickup. Tell us the bell times when you book and we will plan the departure and return around them.
Popular Chicago destinations for south suburban schools include the Museum of Science and Industry, the Field Museum, Shedd Aquarium and the Art Institute. Downtown museums have designated bus drop-off areas, and your driver will plan the route and the drop-off before the day of the trip.
A few things make school trips run smoothly:
- Send the final headcount, including chaperones, at least a week before the trip.
- Give the driver a printed or emailed schedule with the departure time, each stop and the return time.
- Name one lead teacher as the contact for the driver on the day.
- Request the certificate of insurance early so the district paperwork is complete.
Sports Teams and Tournaments
Teams travel with more than people. Bags, helmets, sticks, coolers and equipment cases all need room, and full-size coaches carry them in the luggage bays under the floor, which keeps the aisle clear. Let us know what gear is coming so we can confirm the right coach.
Game days come with a fixed start time, so we plan backward from warm-up, not kickoff. For tournaments that run over a weekend, an overnight package is often simpler than two long day trips. Booster clubs and fan groups heading to pro games can also see our sporting events transportation, and teams traveling to Indiana or Wisconsin will find drive times and day lengths in our guide to charter bus trips from Chicago.
Church and Youth Groups
Church groups book buses for youth retreats, camps, mission trips, choir tours, conferences and senior outings. These trips often start from more than one location, such as the church parking lot and a second parish or school. Extra pickups are no problem; each one adds a little time to the day, and we build it into the quote.
For senior groups, mention any riders who use a walker or need extra time boarding so the driver can plan for it. Churches, schools and companies with a corporate account can be invoiced instead of paying by card.
Driver-Hour Rules for Long Days
Federal hours-of-service rules for passenger carriers limit how long a bus driver can work. A driver can drive up to 10 hours after 8 consecutive hours off duty, and cannot drive after 15 hours on duty. Time spent waiting with the bus during your event usually counts toward the 15.
For most local trips, these limits never come into play. They matter for long tournament days and out-of-state trips. As a rule of thumb, a day that runs longer than about 13 hours from first pickup to final drop-off needs buffer time, a second driver or an overnight stay. On overnight trips, the group covers the driver’s hotel room.
What a Group Charter Bus Costs
Coaches are booked by the hour with a 3-hour minimum. Here are our starting rates:
| Vehicle | Seats | Starting rate |
|---|---|---|
| 14-passenger Sprinter | 14 | $180 / hour (2-hour minimum) |
| 35-passenger coach | 35 | $450 / hour |
| 50-passenger coach | 50 | $550 / hour |
| 51-passenger coach | 51 | $575 / hour |
| 54-passenger coach | 54 | $600 / hour |
| 57-passenger coach | 57 | $650 / hour |
Three examples, before gratuity, tolls and parking:
- Varsity tournament day: 50 players, coaches and trainers in a 50-passenger coach for 6 hours comes to $3,300, or $66 per person.
- Youth group outing: 14 students and leaders in a Sprinter for 4 hours comes to $720, or about $51 per person.
- Two-classroom museum trip: 35 students and chaperones in a 35-passenger coach for 5 hours comes to $2,250, or about $64 per person.
A standard driver gratuity of 18 to 20 percent may be added unless it is already included in your quote. For more pricing detail, see our charter bus cost guide or the full pricing page.
When to Book
| Trip | Book this far ahead |
|---|---|
| Spring field trips (April to June) | 2 to 3 months |
| Graduation and senior trips | 2 to 3 months |
| Fall football and tournament weekends | 2 to 3 months |
| Retreats, camps and mission trips | 6 to 8 weeks |
| Most other local trips | 4 to 8 weeks |
Spring is the busiest season for school groups because field trips, proms and graduations all land in the same weeks. If your date is set, reserve the bus as soon as the trip is approved.

Frequently Asked Questions
Can a school get a certificate of insurance for a field trip?
Yes. Emily’s Limousine Service is licensed and fully insured, and schools and organizations can request a certificate of insurance when they book. Ask for it early so the district paperwork is done before the trip.
How much does a charter bus for a school trip cost?
Our coaches start at $450 per hour for 35 passengers and go up to $650 per hour for 57 passengers, with a 3-hour minimum. A 5-hour museum trip in a 35-passenger coach comes to $2,250 before gratuity, tolls and parking. See our charter bus cost guide for more examples.
How far in advance should we book a bus for a school or team trip?
Book 4 to 8 weeks ahead for most trips. For spring field trips, graduation season and fall tournament weekends, book 2 to 3 months ahead because those weeks fill first.
How many chaperones fit on a charter bus?
Every seat counts the same, so chaperones are part of the headcount. A 54-passenger coach could carry 48 students and 6 adults, for example. Your school sets the chaperone ratio, and we size the bus to the total.
Is there room for sports equipment?
Yes. Full-size coaches have luggage bays under the floor for bags and equipment. Tell us what is coming so we can confirm the right size.
Are your drivers licensed for school and group trips?
Yes. Our drivers are properly licensed, commercially insured and screened, and they are trained in safe driving and route planning. Any driver carrying 16 or more people needs a commercial driver’s license with a passenger endorsement.
Can the bus wait for us during the event?
Yes. On an hourly booking, the bus and driver stay with your group. For long gaps, two shorter bookings, one for drop-off and one for pickup, can cost less than keeping the bus all day.
Can you pick up at more than one location?
Yes. Extra pickups at a second school, parish or parking lot are common. Each stop adds a little time, which we include in the quote.
Do you run overnight and out-of-state trips?
Yes. Our coaches run to Wisconsin, Indiana and other Midwest destinations for tournaments, retreats and senior trips. On overnight trips, the group covers the driver’s hotel room. Our guide to charter bus trips from Chicago lists drive times by destination.
What happens if the game or event runs late?
Time beyond your booked hours is billed at the hourly rate. Federal driver-hour limits still apply, so we build buffer time into long days.
What if our headcount changes after we book?
Contact us as early as possible. We will do our best to move you to a larger or smaller vehicle, subject to availability. Send your final headcount, including chaperones, at least a week before the trip.
Can churches and schools pay by invoice?
Yes. We accept major credit cards and cash, and schools, churches and companies with a corporate account can be invoiced. A standard driver gratuity of 18 to 20 percent may be added unless it is already included in your quote.
